Client accounts

Every client, on one page

The Client 360 page brings together a client’s status, health, rules, people and every event in its history. Your account managers, finance and warehouse all work from the same record.

Available now

From signing up to leaving

Each status tells the whole team what they can and can’t do for that client, so nobody despatches for a client that hasn’t gone live or receives for one that has left.

  1. Onboarding

Signed and being set up. Trial stock can be received early if the account manager allows it; nothing is despatched until the client goes live.

  2. Active

Live and trading, with its rules, people and history on one page.

  3. On hold

Finance has paused the account. No new deliveries and nothing despatched; storage carries on.

  4. Offboarding

Working its notice, with its stock heading out and the final bill to settle.

  5. Closed

Gone, with its full history kept for as long as you need it.

Credit holds your warehouse actually enforces

When invoices go unpaid, your finance manager puts the account on hold with a reason. From that moment the warehouse stops new deliveries and despatch, while storage carries on. The client sees a polite, standard message; your team sees the detail.

A delivery already on the road can still be let in with a supervisor’s override, recorded with the reason. A client that is leaving can be held too, because its stock is often your only leverage for the final bill.

  • 2 weeks ago · Mark Okafor, Finance Manager

Placed on hold. Three invoices more than 45 days overdue; two promised payment dates missed.

  • 12 days ago · Helen Brooks, Warehouse Manager

Delivery let in with a supervisor’s override: goods already in transit, held in quarantine until the hold is lifted.

Questions

What happens to a delivery that arrives while a client is on hold?

It is refused at the dock unless a warehouse manager lets it in with an override, for example because the goods were already on the road. The override and its reason are recorded on the client’s history, and the client is told.

What does the client see when their account is on hold?

A clear, standard message that the account is on hold and who to contact. Finance’s internal reasons and notes stay private to your team.

Can clients manage their own users?

Yes. A client’s administrator can invite colleagues, manage their logins and keep their contacts up to date without calling you. Client users see only their own company’s account, stock and deliveries.

What happens to a client’s records when they leave?

A closed client keeps its full history. Accounts that have ever traded are never deleted, so you can always answer a question about past stock or charges.
